A Guide to Auction Night

Click the Links for detailed Information.

We are thrilled that you'll be joining us on Auction Night. Please make your reservations and buy your tickets soon. We expect to sell out and don't want you to miss it!
The Evening begins at 5 pm

On Auction Night you'll be greeted by our lovely Concierge crew... follow them into Wonderland just like Alice followed the White Rabbit. They'll answer your questions, help you find your table, and be a wealth of information throughout the evening unlike the White Rabbit who was full of riddles!

CHECK IN is in the Fireside Room where you'll find all the Class Projects on display along with a few select Silent Auction Items to get you in the bidding mood. Once you find your table, look through your Auction Package, note your Bidder Number, put on your "Drink Me" Wristband, and take in the Wonderland scene, head upstairs to the Gym for Silent Auction.

SILENT AUCTION is where the action begins. It's like the Cocktail Hour but better. It's the trifecta of a good time... shop, socialize, & imbibe! You'll simply must arrive early and try one. They're available for a limited time and in limited quantity for $10 each.

In between table closings, stop for a bite of Cheese and Crackers at our Wonderland Cheese Bar and sample Simpatica's complimentary passed Hors d'Oeuvres: Sweet Onion Tart with Fromage Blanc & Parsley Pesto and Winter Squash Fritters with Roasted Shallot Jam.

Wine & Beer are available throughout the Silent Auction, complimentary for those with "Drink Me" Wristbands. If you've purchased an "Eat Me" ticket prior to Auction Night and decide to imbibe, Wristbands are available to purchase for $15.

Our Silent Auction Announcer will be our guide, alerting our guests to table closings and providing valuable information. Silent Auction Table closings are scheduled for 6:30, 6:55, 7:15 pm. The Silent Auction Late Table will be in the Fireside Lounge with a closing time of 9 pm.

SIGN UP EVENTS are a great Auction Tradition. We're thrilled to announce our Sign Up Events, some of which are available for Early Purchase. Find the Sign Up Posters along the perimeter of the Gym. Simply fill in your Name & Bidder Number to reserve your spot. Kids Kreations cards will be available for order, as well. You'll get to see every at the Kids Kreations display. For $100, you have a 1 in 52 chance to win... buy a couple of cards for greater odds at winning. The announcement of the Best of the Best winner will open the Live Auction.

TREASURE CHEST KEYS
Alice was looking to unlock the Rabbit's riddle but our Keys unlock $500. Purchase Keys for the chance to unlock the cash. Keys are $25 each and only 100 will be sold. As you move from Silent Auction to Dinner, stop at the Treasure Chest to try your Key/s. If your Key opens the Treasure Chest, you'll find a Voucher for $500 redeemable for cash at Checkout.

Ready for a ride in the Mad Hatter's Tea Cups? A trip to Disneyland is sure to bring family fun. But if Disneyland isn't your thing, our Grand Prize Travel Voucher for $4,000 can be used to plan your own Wonderland Adventure. Silent Auction is your chance to purchase last minute Raffle Tickets. Winners will be announced during the Live Auction. Winners need not be present to win.

The closing of the 7:15pm Table marks the end of our activities upstairs. Make your way down the Rabbit Hole to Dinner and the Main Event. Don't forget to try your key for cash!

Dinner 7:30 pm

SIMPATICA is our caterer for the evening. We're simply thrilled! They've taken care of everything from passed Hors d'Oevres to Dessert and have a fabulous reputation of serving the finest, freshest, local ingredients. To build on our theme of Community, our dinner will be served Family Style, a Madeleine Auction first.

While Simpatica is providing our menu, lead servers, and head bartenders, the Wait Staff & Bartenders are fellow Madeleine Parents. You will see them at drop off and pick up so take care to treat them with respect.

Complimentary Wine (one White & one Red) will be available at your table. Additional Bottles of wine can be purchased at the Wall of Wine. This is a fun opportunity to try your hand at choosing a surprise wine. All bottles have a minimum value of $15 and many are valued well above their $20 purchase price on Auction Night. You're welcome to have a Bartender open the Bottle for you to share at your table with friends or take it home for later.

  • MENU (vegan & gluten free options available when purchasing your tickets)
  • Wall of Wine
Let the Games Begin
8 pm

THE LIVE AUCTION is our Main Event.

We've spent months coordinating and preparing a selection of Live Items that are sure to Wow and surprise even the veteran Auction attendees. We have dinner parties, trips, and more. Raise your paddles high and often for our school, our community, and our kids.

The complete Auction Catalog will be available online the week of the Auction. A traditional Catalog will be in your Auction Package. A sampling items is available on our Live Auction Sampling Page.

Many Live Items are best enjoyed with a group of friends. Take care to note which Live Items you absolutely must have. Think about with whom you'd like to share the experience. Talk about your maximum bids and be ready before Auction Night. Things happen fast once the Auction begins. Planning ahead can help.

It's our recommendation when purchasing a Live Item as a group that you split the item on Auction Night, each bidder paying his or her portion. This eliminates the awkwardness of asking friends for money later on and any misunderstandings. Our Cashiers can take care of this for you.

Coming Soon:
The Live Auction kicks off with an amazing Video featuring all our children, reminding us that while the auction is a night of entertainment and fun... it's really all about the kids.

We're so excited to reveal our Paddle Raise... look for more details next week!

Throughout the Live Auction, the Fireside Lounge is open for you to view the Class Projects. The Sign Up Events will be brought down so you can continue to fill your social calendar for the year. Sign Up Events close at 8:45 pm and the Late Silent Auction Table closes at 9 pm.

Our recorders and cashiers will be entering bids and preparing your winnings for pick up as Items are Sold. Check out opens at 9:15 pm. This year, you'll find Check Out in the Commons near Silent Auction Pick Up.

Making this move from the Fireside to the Commons has enabled us to give all the Class Projects a home. Rather than scattered on the outskirts of the Commons, they'll be the primary focus, easy to view in the cozy environment of the Fireside Lounge. Our kids work diligently to create these amazing works of art. It feels right to give them this prized floor space.

We're able to spread the guest tables out a bit in the Parish Hall, giving us more room to move around and be creative with our floor plan. And we're hoping that fewer guests will forget to pick up their Silent Auction winnings; they'll be right there as you check out, thus, smoothing out the Post Auction process.

When you Check Out, make sure and Round Up for the Endowment. It's an easy way to ensure that our Endowment continues to grow enabling us to offer Tuition Assistance to those who need it.

The majority of Auction Items purchased are easily carried out at end of the evening. For the few items that require some planning of transportation and an extra pair of hands, the Parish Hall will be open on Sunday from 9-Noon for pick up in the Fireside Lounge.

Prior to the festivities, select a designated driver or plan to take a Radio Cab. We'll gladly pay for your cab ride home to ensure your safety!

Our aim is to give you the best possible experience from beginning to end.

We have thoroughly enjoyed planning this special evening for our community and hope to make a night to remember... great food, fun times, and wonderful memories for years to come. We couldn't do it without our fabulous subchairs and the many, many volunteers. We sincerely thank all those who have worked tirelessly to help make the Auction a success, and ask everyone to match our volunteers' dedication with generosity.

Endowment Fund

On Auction Night, enjoy your Madeleine in Wonderland adventure and support The Madeleine School Endowment Fund!

Alice's Adventures in Wonderland brings to life a child's dream world full of colorful characters and curiouser and curiouser conversations between her and the Mad Hatter, the White Rabbit, and the Cheshire Cat, just to name a few. While re-reading this Lewis Carroll classic, I was reminded of a sweet connection between Alice's childhood and the mission of The Madeleine School.

After Alice has awoken from her dream she skips off to have her tea while her older sister wistfully day dreams about Alice's future:

"How this same little sister of hers would, in the aftertime, be herself a grown woman; and how she would keep, through all her riper years, the simple and loving heart of her childhood; and how she would gather about her other little children, and make their eyes bright and eager with many a strange tale, perhaps even with the dream of Wonderland of long ago."

As the parents of Madeleine students, I hope your children are loving school and love to learn thanks to their many adventures with a fantastic cast of characters: our dedicated faculty and staff. Hopefully, they will carry these precious happy Madeleine days with them into adulthood and will one day send their children to as fine a Catholic school.

However, the reality is that not every family in our community is able to afford The Madeleine School's cost of tuition. So far this year, 16% of our students are receiving tuition assistance. The Madeleine School's Endowment Fund is used to fund these requests.

On Auction Night, "Round Up for the Endowment."

100% of your donation will be matched by the
Joseph E. Weston Public Foundation!

As you check out, tell the cashier you would like to "Round up for the Endowment." Whether it's to the nearest 10, 100, or 1000... every dollar donated will help a child in need AND provide them happy memories and adventures every child deserves.

For more details on the history and performance of The Madeleine School Endowment Fund, please contact, Lynn Robinson, Development Director, lrobinson@themadeleine.edu.

Kids' Kreations

What are Kids' Kreations?

Kids' Kreations began in 2005 as a way to celebrate each child's creativity AND contribute to the School Auction fundraiser. Every child creates an original piece of artwork reflective of their imagination and grade level. The art is then reproduced in color on notecards. The inside is blank so the cards can be used for any occasion. They make perfect gifts and thank you notes.

Price?

One set of (20) Notecards (5 1/2 x 4 1/4) and envelopes is $25.

Who should purchase?

Anyone can purchase a set of Kids' Kreations Cards. We've found them to be especially appealing to friends and grandparents. But, your welcome to purchase any child's cards.

How do we know what they look like?

We have each child's art on display on Auction Night and typically you'll see a sneak peek in our Weekly Updates as the Auction gets closer.

Can we only purchase on Auction Night?

No, you're welcome to place your order now.

How do we order?

Order forms:
You can download & print your form then submit to the Madeleine School Office at 3240 NE 23rd Avenue, Portland, OR 97212.

When will we receive them?

The cards will be ready for delivery by Thanksgiving. They make a great Christmas gift!

How do we receive our order?

Orders will be sent home with your child or can be mailed to you upon request. A postage fee of $2 is applicable for delivery by mail.

Who do I contact with a question?

Nathalie Pillsbury (mom of Alex in 5th grade) can help you with any questions you may have. Contact her at 503.789.2257.

Kids' Kreations is a wonderful way to support the school, cherish your child, and have something useful... all at the same time... and that is priceless!

WALL OF WINE

What's the Wall of Wine?

The Wall of Wine has been an Auction night fixture for the past five years and it gets better and better every year. Donated bottles of wine with a minimum value of $15 are wrapped, coded Red or White, assigned a random number, and sold on Auction night for $20 a bottle. The true value of most bottles is between $20-50 but there are always a few extra special bottles that pleasantly surprise even the most astute wine enthusiast.

Where is it located on Auction Night & when can we purchase?

This year it will be situated with the Class Projects in the Fireside Room. Be encouraged to make your Wall of Wine purchase early in the evening. We expect to sell out before the night's over. Simply use your bidder number when you make your selection and it will be on your receipt at Check Out.

How can we help?

Bring in a favorite bottle to contribute. We'd love for ever family to bring in at least one bottle. It's not required but the more wine the better!

Our new partners at Great Wine Buys...

This year we are thrilled to announce a partnership with our neighbors at Great Wine Buys on Broadway. They have graciously "sponsored" the Wall of Wine by offering a 20% discount on all wine purchased for the Wall of Wine. Drop into the shop at 1515 NE Broadway and Great Wine Buys will not only help you make a wine selection, but give you all the information you need, and even store the wine to be picked up by the Auction Committee just in time for Auction night.

No time to stop in?

Just give them a call and they'll take your order over the phone. Just let them know you're from the Madeleine and they'll take care of the rest.

Great Wine Buys...

has been in the neighborhood since 1985. They feature over 200 wines from the Northwest and 800 labels all together. Stop in and discover something new! And, thank them for their support.

Do I need to fill out a Donor Form for our Wall of Wine Contribution?

We''d love to properly thank you for your contribution and add your name to the Wall of Wine contributors on Auction Night. For EVERY bottle of wine, please attach the following FORM:

Great Wine Buys has a stack of these forms to complete as you make your purchase.
Forms are also available in the Parent Workroom.
And, you can download and print it for your convenience: Wall of Wine Donation

This class project includes site preparation, professional landscape consultation to ensure a good choice of plant materials, a tree (or other plants of similar value), bark dust and clean-up. 7th Grade Class Project ~ Glass-Tiled Platter
The 7th Graders have created a beautiful 16 x 16 inch platter with glass artist Jenelle Kathan from Moonbeam Glassworks. The students worked in Jenelle's studio to learn and create their own 2 x 2 inch square. Auction Rules

"Read the directions and directly you will be directed in the right direction!"

Live Auction Items

Auctioneer will seek verbal bids on Live Auction Items listed in the Live Auction section. Upon purchase of an item your bid number will be recorded by a cashier. This number will serve as the bidder's account number. Certificates for goods and services will be available at the cashier's table at Check Out.

Silent Auction Rules

All Silent Auction Items have bid sheets nearby. If you desire to bid on an item, write your bid number and amount legibly on the bid sheet. You may bid on each item as often as you please. Raises must be in the minimum amount specified on the bid sheet. If not observed, your bid will be voice. Silent Auction tables have various closing times starting at 6:30, then 6:55, and 7:15pm. The Late Night Table  will close at 9pm in the Fireside Lounge. When the top (white) bid sheets are removed, bidding on those items has ended. You may check with the cashier at any time to see if you were a successful bidder.

Liability

The written or verbal bid at this auction constitutes a legal contract to purchase the item. All sales are final and there will be no exchanges unless specified by the donor. In all cases of dispute, the decision by the auction officials is final. The Madeleine Parents' Club has attempted to clearly catalog and describe all the items presented at the auction. However, all items are sold in "as is' condition. The school neither warrants or represents, and in no way, will be responsible for accuracy of description, authenticity, authorship, or condition of the items presented. No statement contained in the catalog or made orally at the sale or elsewhere will be deemed such a warranty, representation, or assumption of liability.

Your receipt for your auction purchases will show the total amount you paid for your items. This amount, minus the approximate value for the items as established by our valuation committee, equals your net charitable donation. The purpose of establishing this value is to comply with federal law. The Madeleine Parents' Club reserves the right to withdraw any items from sale prior to the call for bids.

Sunday Will Call

The majority of Auction Items purchased are easily carried out at end of the evening. For the few items that require some planning of transportation and an extra pair of hands, the Parish Hall will be open on Sunday, November 4th, 2012, from 9-Noon for pick up in the Fireside Lounge.

Courtesy Reminder
As a courtesy to our donors please call by January 15th, 2012, to discuss reservations for your group events. Please examine your gift certificate for the contact information. Please note all conditions, restrictions, and expiration dates on your purchases. Unless otherwise noted, services, tickets, certificates, etc., must be used within one year of the auction at a time mutually agreeable to the donor and purchaser. Items cannot be converted to cash. Gratuities are not included in certificates unless specified. Friends have been generous in donating their condominiums and homes at the beach or mountains. It is the responsibility of the successful bidder to leave these accommodations in good condition. After the auction, any questions should be directed to the Post Auction Coordinators, Angela Wood angela.wood@mac.com OR Lynn Robinson lrobinson@themadeleine.edu.

Payment

When you check in you will be asked for the method of payment you wish to use for the items you bid on. If you choose to provide your credit card at the beginning of the event, you will eliminate the need to see the cashier at the end of the night. It's much like the express checkout at a hotel. Your Visa or MasterCard will be swiped into the the school auction system during registration. At the end of the night, you can review an itemized receipt. Your credit card will only be charged if you are successful at bidding. Cash and checks are also welcome.

¡Arriba! Loreta Bay, Mexico

Vacation Home ~ One Week Stay

The Queen of Hearts had a nice spread, but her Wonderland palace had nothing on this Mexican vacation home just north of Cabo. Nestled a quarter-mile from a white sand beach, this two-bedroom Loreta Bay home awaits the Queen and/or King of the Madeleine Auction. Leave the croquet mallets at home as you opt instead to hike in the nearby estuary, golf at the Loreto Baja Golf Course, or experience some of the best snorkeling, fishing, and kayaking in the world.

This adventure has no blackout dates, and the winner has two years to redeem this trip.
